Your privacy is important to T-REX. This privacy statement explains the personal data we process, how we process it, and for what purposes.

T-REX is an AI-powered field service platform that helps heavy equipment technicians diagnose issues, access service manuals, document repairs, and manage work orders. References to T-REX in this statement include the T-REX web app, mobile app, website, and related services.

Please read the product-specific details in this privacy statement, which provide additional relevant information. This statement applies to the interactions T-REX has with you and the T-REX products listed below, as well as other T-REX features that display this statement.

Personal data we collect

T-REX collects data from users through your interactions with us and your use of our products. You provide some of this data directly, and we get other data by collecting information about your interactions, use, and experiences with T-REX. The data we collect depends on the context of your interactions with T-REX and the choices you make, including your privacy settings and the features you use.

Account data. When you register, we collect your name, email address, and authentication credentials. If your account is provided by an organization, we may also receive your role and organization affiliation.

Work order data. When you create a work order, you may enter customer name and contact information, machine make, model, and serial number, fault codes, the customer complaint, technician notes, and repair summaries. This information is stored to build your repair history and equipment database.

Repair documentation. Structured write-ups, notes, and generated summaries you create or approve are stored with the associated work order and may be exported as PDFs.

Images and voice input. If you use data plate capture or upload photos, the images and any text extracted from them are processed to populate work order fields. If you use voice input, audio is processed by your device/browser to transcribe speech to text.

Chat data. When you interact with the T-REX AI assistant, your messages, uploaded images, and the machine and repair-history context we retrieve are processed to generate responses.

Billing data. If you subscribe to a paid tier, we process payment information through our payment processor, Stripe. T-REX does not store full card numbers.

Usage data. We collect information about how you use T-REX, such as features used, AI credits consumed, and session activity, to operate and improve the service.

You have choices when it comes to the data you share. When we ask you to provide personal data, you can decline. Many of our features require some personal data to provide you with a service. If you choose not to provide required data, you cannot use the related feature. Where providing the data is optional, and you choose not to share it, features that use such data will not work for you.

How we use personal data

T-REX uses the data we collect to provide you with rich, interactive experiences. Specifically, we use data to:

Provide our products, which includes creating and managing work orders, generating AI-assisted diagnostics and summaries, building your repair history and equipment database, and providing support.

Improve and develop our products. As part of our efforts to improve T-REX, we may use aggregated or de-identified data to improve our AI models and features.

Process payments and manage your subscription, including credit usage and renewals.

Communicate with you, which includes service notifications, account updates, and, where you have opted in, promotional communications.

We also use the data to operate our business, which includes analyzing performance, meeting our legal obligations, and doing research.

Reasons we disclose personal data

T-REX discloses your personal data with your consent, to complete any transaction or provide any product you have requested or authorized, or as needed to carry out any other purpose described in the How we use personal data section. We also disclose personal data when required by law or to respond to legal process, and to protect customers, safety, security, and T-REX and its customers' rights and property.

We share data with service providers acting on our behalf, such as our payment processor (Stripe) and AI model providers, only as necessary to provide the service. We provide data to organization-controlled affiliates and vendors working on our behalf under appropriate confidentiality terms.

How to access and control your personal data

You can make choices about the collection and use of your data by T-REX. You can control your personal data by updating your profile, managing your work orders, and contacting us to exercise your data protection rights.

You may request access to, correction of, or deletion of your personal data, subject to applicable law and our record-keeping obligations. To exercise your data protection rights, contact us as described in the Contact us section.

Cookies and similar technologies

We use cookies and similar technologies for storing your preferences and settings, enabling you to sign in, maintaining your session, combating fraud, and analyzing how our products perform.

You can control the data collected by cookies through your internet browser settings. Where required, we obtain your consent prior to placing optional cookies that are not strictly necessary to provide the service.

T-REX account

A T-REX account lets you sign in to T-REX products. Personal data associated with your account includes credentials, contact data, and activity-related information. Signing in enables consistent experiences across devices and access to your work orders, repair history, and equipment database.

If your account is provided by your organization, your organization administrator may manage your access, role, and certain account settings.

Collection of data from children

T-REX is a professional tool intended for use by technicians and organizations. T-REX is not directed to children, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can delete it.

Storage and processing of personal data

T-REX may store and process your personal data in your region and in any jurisdiction where T-REX or its service providers operate facilities. When we transfer personal data internationally, we implement appropriate safeguards to help protect your rights and ensure your data remains protected.

Artificial Intelligence capabilities

T-REX leverages artificial intelligence to assist with diagnostics, repair documentation, and knowledge retrieval. AI-generated outputs are suggestions intended to support qualified technicians and should be verified before acting on them.

Our use of AI is consistent with our commitments outlined throughout this privacy statement. We may use your work order and repair data as context to generate more relevant AI responses. For Expert-tier users, the AI may retrieve information from the internet and will cite its sources.

Enterprise and organization products, and products provided by your organization

T-REX products offered to and designed primarily for use by organizations include team access, shared repair history, and organization-managed equipment and customer databases.

In the event of a conflict between this privacy statement and the terms of any agreement between your organization and T-REX, the terms of that agreement will control.

If you use a T-REX account provided by your organization, your organization may control certain aspects of your account, including access, role assignment, and visibility of work orders and data within the organization. Please see your organization's policies for more information.

Productivity and field service products

T-REX field service products help you create, store, and share work orders, repair documentation, and equipment records, as well as communicate with the T-REX AI assistant. These services use your data depending on their features and how you use them — for example, we collect information about the machines and customers associated with your work orders to build your repair history and equipment database.
